Onboarding Guide for Program Managers
This guide is designed to provide you with a clear and concise process for onboarding new team members within your programs at the RISEC Community Foundation. By following these steps, you will ensure a smooth, consistent, and effective integration of volunteers into our organization, setting them up for success and contributing to the overall mission of RISEC.

Phase 1: Interview and Candidate Selection
- Initial Interview:
- Utilize the provided interview questionnaire to conduct a structured and comprehensive interview.
- Access the questionnaire here: RISEC Standard Interview Questionnaire
- Evaluate candidates based on their skills, experience, and alignment with RISEC’s mission and values.
- Candidate Selection:
- If, after the interview, you determine the candidate is a suitable fit and you wish to bring them on board, proceed to the next step.
- If you would like a second opinion on the candidate’s suitability, please contact the RISEC office or consult with another program manager for assistance.
Phase 2: Volunteer Agreement and Documentation
- Volunteer Agreement Form:
- Send the volunteer agreement form to the selected candidate. Here’s the Form: RISEC Volunteer Agreement Form and Instructions.
- Instruct the candidate to download, complete, and sign the agreement form.
- Request the candidate to return the signed agreement form along with a copy of a valid government-issued ID.
- Submission:
- The candidate must return the completed agreement form and ID to the RISEC office.
Phase 3: Office Onboarding and Communication
- RISEC Email Setup:
- Upon receipt of the signed agreement and ID, the RISEC office will create a RISEC email account for the new volunteer. The standard email format is first name initial followed by the last name. Here’s an example: John Doe, jdoe@risec-canada.org.
The temporary password is the same as the email. To login to their email, they have to go to the RISEC webmail at www.risec-canada.org/webmail. - The login details for the RISEC email will be sent to the volunteer’s personal email address on file.
- Slack Invitation:
- The volunteer will receive an invitation to join the RISEC Slack group chat via their new RISEC email address.
- Onboarding Session Invitation:
- Program Managers will receive onboarding session invites, that they will pass on to the new volunteers.
Phase 4: Program Manager Follow-Up and Integration
- Consistent Follow-Up:
- As a program manager, it is crucial to maintain consistent communication with new volunteers.
- Regular check-ins will help prevent stagnation and ensure ongoing engagement.
- Role and Responsibility Clarification:
- Clearly communicate the volunteer’s roles, responsibilities, and expectations as outlined in the job description.
- Make sure the volunteer has a copy of the job description.
- Task Assignment:
- Integrate the new volunteer into the team by assigning relevant tasks promptly.
- Facilitate their involvement in ongoing projects and initiatives.
- Support and Assistance:
- Provide ongoing support and guidance to the new volunteer.
- Address any questions or concerns they may have.
